How Do I Export a Report to PDF or Excel Format?

Updated over a month ago

Once you’ve created a report in BrandMentions, you need the flexibility to export it in a format that fits your workflow. You might need a polished PDF for a presentation or an Excel file for deeper analysis and integration with other tools. BrandMentions gives you both options so you can always get your data in the format you need.

This guide walks you through the exporting options available in BrandMentions and explains the best use cases for each format.

How to Export Your Report in PDF

Exporting your report is quick and straightforward:

  1. Navigate to the Reports Dashboard
Go to the Reports section in your BrandMentions account.

  2. Find Your Report
In your list of created reports, locate the report you want to export.

  3. Click the “Download” or “Export” Button
In the Actions column for that report, click the Download or Export button. By default, this will download the report as a PDF.

How to Export Your Data in Excel

You can easily export your data to Excel directly from the Mentions section in BrandMentions. Simply go to Mentions, apply any filters you need (date, source, sentiment, etc.), then use the Export option to export the visible data as an Excel (.xlsx) file. This lets you work with your mentions in detail, create custom reports, or combine them with other data sources.

An Overview of BrandMentions’ Exporting Options

BrandMentions’ reporting suite is designed to be flexible, and that includes how you export your data. Here are the main export formats you can use:

PDF (.pdf)

This is the primary and most common export format for BrandMentions reports. It generates a high-quality, professional, non-editable document that’s perfect for sharing with clients, presenting to your leadership team, or archiving for your records. The PDF format preserves all your branding, charts, and visual elements so your report looks exactly as you designed it.

Best for: Formal presentations, client deliverables, and printing.

Excel (.xlsx)

For users who want to perform their own analysis or combine BrandMentions data with other data sources, the Excel export option is ideal. It exports your data into a structured Excel spreadsheet, with key data points (such as mentions, sentiment, and reach) organized so you can easily work with them. You can then create custom charts, pivot tables, filters, and calculations based on your needs.

Best for: Deep-dive data analysis, creating custom visualizations, and integrating with other business intelligence tools.

By providing both PDF and Excel export options, BrandMentions ensures you’re never locked into a single way of working with your data. Whether you need a polished, presentation-ready PDF or a flexible spreadsheet for deeper analysis, you can choose the format that best fits your needs and workflow.
