In BrandMentions, you can automate your reporting by scheduling reports to be generated and sent via email on a weekly or monthly basis. This removes the need to manually create and send PDFs every time your team or clients need an update.
Below is a step-by-step guide to scheduling your first automated email report.
How to schedule an automated email report
1. Go to the Emails & Alerts section
In the left sidebar, click Emails & Alerts. This opens the main area where you can manage and create Alerts & Notifications.
2. Click the “+ New Alert” button
Inside Emails & Alerts, go to the New Alert button.
You can choose between:
Alert
Receive email notifications in when new mentions match your alert conditions.Scheduled Report
Get recurring reports delivered automatically at a chosen frequency (daily, weekly, monthly).Scheduled AI Digest
Receive AI-generated summaries that highlight key insights, trends, and notable mentions over time.
3. Create a new scheduled custom report
The Schedule Report feature allows you to automatically send reports to your clients or internal stakeholders on a weekly, monthly, or yearly basis. Once configured, the report is delivered as a PDF attachment via email.
In the scheduling area, define when the report should be generated and sent:
In the Recipients field, type the email addresses of everyone who should receive the report.
Sender email - The email address that appears in the From field.
Sender name - The display name shown next to the email address.
Recipients - You can add multiple email addresses, usually separated by commas.
Email title
Message (optional body text)
Frequency - Choose Weekly or Monthly.
Click Save to confirm.
Your scheduled email report is now active. BrandMentions will automatically generate and send it on the schedule you defined, no further manual steps needed.
The Scheduled AI Digest automatically generates and delivers AI-powered summaries of your monitored data at a set frequency. It highlights key mentions, trends, and insights, saving you time while keeping stakeholders informed.
Choose the language, frequency or recipient email addresses. Also, you can customize AI digest output - Use this field to give the AI specific instructions on how to format or structure the digest.
Once saved:
The next report delivery date is displayed
The digest will be generated and sent automatically based on your schedule
You can edit or delete the scheduled AI Digest at any time
How to manage existing scheduled reports
From the Emails & Reports dashboard, you can see all your scheduled reports and manage them as needed.
Common options include:
Edit
Change the report sections, schedule (weekly/monthly, day/date), or recipients.
Useful when campaigns or stakeholders change.
Delete/Pause
Permanently stop a scheduled report from being generated and sent.
Use this when a campaign ends or a report is no longer needed.

Create one report per audience
Example:
“Client A - Weekly Brand Overview”
“Internal - Monthly Executive Summary”
Use clear report names
Include project, frequency, and audience in the title so you can quickly identify each schedule.
Test before rolling out
