What Happens to Shared Projects When a User Leaves the Team?

When a team member leaves your organization, you need to make sure your BrandMentions projects stay safe, accessible, and properly managed. This includes any projects that the user created or owned.

In BrandMentions, projects do not disappear when a user leaves the team. Instead, ownership and access can be transferred so your monitoring and reporting workflows continue without interruption.

When a user leaves your BrandMentions team:

  • Their access is removed from your workspace.

  • Any projects they own must be transferred to another team member.

  • Shared projects remain available to the team, as long as a new project owner is selected.

  • Their user seat becomes available for a new team member.

The key step is project ownership transfer. Handling that correctly prevents lost data and orphaned projects.

What typically happens when a user is removed

Here is the standard offboarding flow for a user who owns projects in BrandMentions.

1. An administrator removes the user

An account administrator goes to the Team Members dashboard to remove the departing user from the BrandMentions account.

2. The administrator selects a new project owner

For each project owned by the departing user, the administrator can choose a new owner from the list of remaining team members.

Good choices for new owners are usually:

  • The departing user’s manager

  • Another team member who actively works with that project

  • A lead or admin responsible for brand monitoring or reporting

Once selected, the new owner immediately gains ownership rights for that project.

4. The user’s access is revoked and their seat is freed

After all projects have been reassigned:

  • The departing user’s access to your BrandMentions workspace is removed

  • They can no longer log in or view your projects

  • Their user seat becomes available, so you can invite a new team member without upgrading your plan, if your user limit allows

Your projects remain intact and your team can continue working without disruption.

By planning ownership transfers in advance, using a clear offboarding checklist, and communicating changes to your team, you can offboard users safely while keeping all BrandMentions shared projects active, secure, and well managed.
