What’s the Best Way to Manage a Large Number of Mentions Efficiently?

Updated yesterday

When your BrandMentions projects start collecting thousands of mentions per month, managing them manually can quickly become overwhelming. To stay efficient and focused, you need to shift from reviewing mentions one by one to using smart filters, automation, and tagging systems that highlight what truly matters.

Here’s how to organize, prioritize, and extract valuable insights from large datasets without wasting time.

1. Use Filters to Focus on What Matters

Filters are your best ally for handling high volumes of data. Instead of scrolling endlessly, use filters to narrow down mentions that are most relevant.

  • Prioritize by Sentiment and Reach: Combine filters like Sentiment (Negative) and Reach (>10,000) to quickly identify high-impact negative mentions that may require immediate attention.

  • Segment by Source: Focus on specific channels using the Source Filter—for instance, analyze News and Blogs separately from Social Media.

2. Save Your Most Useful Filters

Once you’ve built a powerful filter combination, save it as a Saved Filter to use again instantly. Examples include:

  • Daily Crisis Check: Negative mentions with high reach.

  • Brand Advocates: Positive mentions from influential profiles.

  • Competitor Watch: Mentions related to a specific competitor.

  • Product Feedback: Mentions containing terms like “bug,” “feature,” or “issue.”

This approach saves time and ensures consistency in your daily or weekly monitoring routine.

3. Create a Consistent Tagging System

Tagging helps you keep your mentions organized and easy to retrieve later. Develop a tagging structure that fits your workflow:

  • By Department: “Support,” “Marketing,” “Sales.”

  • By Action: “Needs Response,” “Follow Up,” “Reviewed.”

  • By Theme: “Campaign Feedback,” “Feature Requests.”

The goal is to tag quickly and move on, your tags will make future searches and reporting effortless.

4. Clean Your Feed with the Block Feature

Instead of deleting irrelevant mentions repeatedly, use the Block option to stop seeing mentions from the same unhelpful sources permanently. This helps keep your mentions feed clean and focused on meaningful content.

5. Automate Alerts

Set up real-time alerts for specific keywords, sentiment changes, or spikes in mentions. This allows BrandMentions to notify you automatically when a significant event occurs, saving you from manually checking the dashboard throughout the day.

Managing a large volume of mentions efficiently comes down to automation, structure, and smart prioritization.

By combining filters, saved views, tagging, and scheduled monitoring, you can turn what used to be a time-consuming task into a streamlined, insight-driven process allowing you to focus on what really impacts your brand.
