How Do I Share Projects or Reports With Teammates?

BrandMentions makes it easy to share projects and reports with your teammates so everyone can work from the same data and stay aligned. You can control who has access to each project, and you can share reports directly via link, by email, or as PDFs.

Project sharing in BrandMentions is handled through project access on each user.

Option 1: Share a project when inviting a new team member

You can share projects at the moment you invite someone to your account.

  1. Go to Team Members in the left sidebar.

  2. Click + Add member to open the Invite a team member modal.

  3. Fill in the user details and choose a User Role.

  4. In the Project section, use the dropdown to select the projects you want this person to access.

  5. (Optional) Check Give automatic access to all future projects if this teammate should see every new project you create later.

  6. Click Send Invite.

The invited user will receive an email and, once they join, they will see the projects you selected in their account.

Option 2: Share a project with an existing team member

You can update project access at any time for users who are already in your account.

  1. Go to Team Members.

  2. Find the teammate in the list and click the Edit icon.

  3. In the Project area, select or unselect projects as needed.

  4. (Optional) Enable automatic access to all future projects for this user if they should automatically see new projects.

  5. Save your changes.

The updated access applies immediately, so the teammate can open those projects as soon as you save.

Sharing reports with teammates

A report is a curated summary of project data, usually tailored to a specific audience or purpose, for example:

  • Weekly performance overview

  • Campaign recap

  • Executive summary

BrandMentions lets you share reports in several ways, depending on how your team prefers to work.

1. Direct access inside BrandMentions

The simplest way to share a report is inside the platform.

  • If a teammate has access to the project where the report was created, and their role allows them to view reports, they can go to the Reports section and open that report directly.

  • This method keeps everything inside BrandMentions, so your team always works with the most up to date version.

This is ideal for ongoing collaboration, internal reviews, and shared analysis.

2. Shareable report links

In some report types, you can create a shareable link to a live, view only version of the report.

A shareable link is useful when:

  • Someone needs to see the report

  • They do not have direct access to the project, or

  • You want to avoid sending PDFs back and forth

3. Scheduled email reports

You can automatically send reports to teammates as scheduled email reports.


For example:

  • Weekly report for the marketing team

  • Monthly report for management

To share a report this way:

  1. Go to Reports and open Schedule Email Reports.

  2. Create or edit an email report schedule.

  3. Add your teammates’ email addresses in the Send to field.

  4. Choose the frequency (weekly or monthly) and save.

Your teammates will receive a PDF report in their inbox on the schedule you selected, with no manual sending required.

4. Downloading and sending PDFs manually

You can always share a report in a more traditional way.

  1. Open the report in BrandMentions.

  2. Export or Download as PDF.

  3. Attach the PDF to an email or upload it to your internal communication or file sharing tool.

This is useful when sending a one time report or when you need to archive reports in external systems.

By using project access, in platform report sharing, links, scheduled email reports, and PDFs where needed, BrandMentions helps your team stay aligned and informed, while keeping your data and assets in a single collaborative workspace.
